In short: WhatsApp automation for real estate

WhatsApp automation means letting software handle the predictable part of a property conversation on your business number: the instant first reply, a few qualifying questions, site-visit booking and reminders. Your salespeople then take over with the full context. Done well, the buyer gets an answer within seconds and your team spends its time on serious buyers.

Buyers in India already expect to talk to builders and brokers on WhatsApp. The question is no longer whether to use it, but how much of each conversation to automate, which WhatsApp product to use, and how to stay inside Meta's rules and India's data protection law. This guide covers all four, without vendor statistics or promises.

WhatsApp Business App or Business Platform?

Meta offers two products for businesses, and they suit different stages:

WhatsApp Business AppWhatsApp Business Platform
Built forOne person or a small team replying from a phoneTeams and systems: many salespeople, automation, integrations
AutomationGreeting and away messages, quick replies, labelsInstant replies, qualification flows, booking, reminders, routing, chatbots
Connects to your CRMNo direct integrationYes, through the API, directly or through a provider
Messages you startFree-form; broadcast lists reach only contacts who saved your numberPre-approved templates, charged per delivered message
CostFree appPer-message charges from Meta, plus any provider or software fees

Many teams start with the app. The point to move to the platform is when enquiries arrive faster than one phone can handle, when more than one person needs to see conversations, or when you want every chat to land in your CRM automatically. Meta now also lets a business connect its existing WhatsApp Business app number to the platform and keep replying from the app, which it calls coexistence. Our guide to the WhatsApp Business API explains what changes when you do.

What to automate first

Start with the moments where speed matters most and the answer is the same every time:

  1. The first reply. An enquiry from a portal, ad or website gets a WhatsApp message within seconds of arriving, day or night, from your own business number. It names the project, introduces the salesperson and asks one easy question.
  2. Qualification. Three to five questions in English or Hindi: configuration, budget band, preferred location, timeline, and whether the buyer will need a home loan. The answers go straight onto the lead's record.
  3. Site-visit booking. The buyer picks a slot from your sales team's real availability. The visit is confirmed in the chat and added to the salesperson's calendar.
  4. Reminders. A confirmation the day before and on the morning of the visit, with the location pin: a simple way to help cut no-shows.
  5. Handover. The right salesperson, by project, language or territory, gets the conversation with every answer so far, and the buyer is told who will call.
  6. Missed calls. When a call to your sales number goes unanswered, the caller gets a WhatsApp message offering to help in the chat.

None of these replaces a salesperson. They make sure that by the time a person picks up the conversation, the buyer has been answered, qualified and, ideally, booked for a visit.

What to leave to people

Automation should hand over, not improvise. Keep these with your team:

  • Price negotiation, discounts, payment plans and anything to do with offers.
  • Legal and document questions: approvals, title, RERA details beyond the registration number, possession timelines.
  • Complaints, cancellations and refunds.
  • Any question that isn't covered by the scripts and information you have approved.
  • The relationship itself. A buyer making a decision this large wants to know there is a person on the other side.

A good assistant answers only from information you have approved, says when it doesn't know, and passes the buyer to a person instead of guessing. Review real conversations every week for the first month, and whenever you change a script.

Templates, message categories and cost

On the Business Platform, a buyer opens a 24-hour customer service window each time they message you. Inside that window you can reply freely. To start a conversation, or to message a buyer after the window has closed, you must use a template that Meta has approved.

Each template has a category, and the category affects both what you may say and what you pay:

  • Utility: messages about something the buyer asked for or agreed to: an enquiry acknowledgement, a visit confirmation, a reminder.
  • Marketing: promotions, launches and offers. These need the buyer's marketing opt-in and cost more per message.
  • Authentication: one-time passcodes, if your portal uses WhatsApp login.

Meta reviews every template and can change its category, so write utility templates that are clearly about the buyer's own request. Since July 2025, Meta has charged per delivered message rather than per conversation, with rates that depend on the category and on the country of the recipient's number. India has its own rate card. Since October 2026, free-form service replies are free only for the first 1,000 each month per number, while every message for up to seven days after a buyer contacts you from a click-to-WhatsApp ad stays free. Our WhatsApp Business API guide lists the current India rates. These rules change often, so check Meta's current pricing page before you budget.

Two sets of rules apply. Meta's WhatsApp Business Messaging Policy requires a buyer's opt-in before you send them business-initiated messages, and lets them block or report you if messages are unwanted. India's Digital Personal Data Protection Act and Rules add consent requirements for personal data, with most obligations applying from 13 May 2027.

In practice:

  • Ask for WhatsApp consent where you collect the number (website form, ad form, site-visit register), in plain words, with a box that is not pre-ticked.
  • Keep marketing consent separate from consent to reply to the enquiry. A buyer who asked about one project has not agreed to hear about every launch.
  • Record when and where each consent was given, and the wording the buyer saw.
  • Make stopping easy: honour "STOP" or any similar reply immediately, across every number you use.

This is a summary, not legal advice. Check your forms and consent records with your lawyer before 13 May 2027.

Six sample templates

These show the shape of good real estate templates. Variables such as {{1}} are filled in for each buyer. Meta decides the final category when it reviews each template. For more, including auto-replies, follow-ups and Hindi versions, see our WhatsApp message templates guide.

Connecting WhatsApp to your CRM

Automation is only half useful if the conversation stays in WhatsApp. Every chat should write to the lead's record in your CRM:

  • the lead source (portal, ad, website, missed call, channel partner) and the campaign
  • the qualifying answers, word for word
  • the consent the buyer gave, with the date and wording
  • the site-visit slot and its outcome
  • the salesperson it was assigned to, and when they first replied

Check for duplicates by phone number before a lead is assigned, especially if channel partners register buyers with you. Then report on what matters: time to first reply, visits booked and visits done, by source. Our CRM integration guide covers choosing the CRM itself.

A four-step rollout

  1. Audit and design. Measure how quickly each lead source is answered today. Agree the scripts, qualifying questions, templates and handover rules with your sales head, and submit the templates for approval.
  2. Build and connect. Put your number on the Business Platform, connect every lead source, link the CRM and test every path, including night-time enquiries and handovers.
  3. Pilot. Run it for one project or one team. Read the conversations, fix the scripts and check that salespeople pick up handovers.
  4. Roll out and report. Extend it to every project and source, and compare first-reply times and visits against the baseline from step one every month.
